Waco TPID Incentive Program

Member Hotel Reimbursement Program

Waco Tourism Public Improvement District (WTPID) is pleased to offer a new incentive program to meeting and event planners, filmmakers, sports planners, and other large groups.

The program is specifically created to incentivize group or event entities to book guestrooms at Waco TPID member hotels. The program is simple. The WTPID offers a reimbursement of $5 per consumed hotel room for new business brought to Waco. Proof of consumed room nights must be obtained from the hotel(s). A minimum of 100 room nights to qualify.

Application Process

  • Contact Executive Director, Carla Pendergraft (carla@wacotpid.com or 254-855-7354) to discuss your event. She can introduce you to the program and guide you along the way.
  • Download and complete the Client Incentive Request & Justification Form.
  • Submit the form to carla@wacotpid.com.
  • Applications will be reviewed and approved by the board. The board typically meets the third Wednesday of the month, so applications received by the second Wednesday at 5pm will be considered that same month.
  • Applicants will be notified of their status upon the preliminary decision of the board, and of any changes after a thorough review of the submitted application.
  • If approved, the applicant will be notified of the amount eligible to be awarded.
  • Awards are based on incentive program parameters and funding availability.

More Details:

  • To allow time to obtain booking links from TPID hotels, this form should be submitted a minimum of 90 days prior to the event.
  • Recurring events may submit this form up to 12 months in advance of the event.
  • Convention planners may submit this form up to 5 years in advance of the event.
  • Destination Waco, DMO will handle rate quotes. Hotel quotes must be made available to your attendees.
  • Requestor must submit a post-event report within 30 days after the event.
  • All sports events should go through the Greater Waco Sports Commission to optimize and track usage of sports venues unless approved in advance.
  • If incentive is approved, all payments will be made AFTER the event takes place.

Funding Process

  • After the event’s conclusion, the applicant must submit a final report including actual performance compared to projections.
  • Download and complete the Waco TPID Post Event Report Form. Include proof from the hotel of the number of consumed room nights.
  • Submit the form to carla@wacotpid.com. The board will review the form and respond with its funding determination.
